Job interview reminders when work can see your screen
A work Mac signed in to your personal iCloud shows every reminder you write, and a presented screen shows the banner. How to keep an interview reminder off that Mac, what Apple says a managed work phone can and can't see, and where a recruiter's invite ends up
The reminder that gives you away is the one that syncs. If the Mac on your desk is signed in to your personal iCloud, every reminder you write on your phone is on that Mac the moment you save it, so the fix is to keep the interview reminder somewhere that Mac can't reach, hide the previews it can still show, and keep personal reminders off a phone your employer owns.
I make a reminders app, Notif; the last section says where it fits, and everything before it is Apple's own settings, with the page each one comes from.
Where it shows up
- The Reminders app on the work Mac. Apple's Reminders accounts guide says reminders stored in iCloud appear on your iPhone, iPad, Apple Watch and Mac where you're signed in to the same Apple Account, so "Interview, Thursday 2 pm" is there before you've put the phone down
- A banner on a presented or shared screen, with the full text. That moment has its own page
- Spotlight and the Calendar app on that Mac, including the recruiter's invitation, if iCloud Calendar is on there
- Your phone's notifications on the Mac, if you ever set up iPhone Mirroring with it. Apple's iPhone notifications on Mac page says the Mac then receives them "even when iPhone Mirroring is not in use"
- A work phone. A list under your work account lives on the employer's server, and Apple's accounts guide says it stays there when you remove the account from the phone
What to do
- Turn off iCloud Reminders on the work Mac. Apple's iCloud Reminders page gives the path: System Settings, your name, iCloud, then See All next to Saved to iCloud (on macOS 15 or later; on macOS 13.3 to 14 it's Show All below Apps Using iCloud) and turn Reminders off; Calendars is in the same list. Or sign out of your Apple Account on that Mac: Apple's sign-out page says you're asked whether to keep copies of Reminders and Calendar data, and if you don't, they're removed from the Mac
- If iCloud has to stay on, hide the words. In System Settings, Notifications, Notification Center, set Show previews to When Unlocked or Never, and set notifications when mirroring or sharing the display to off. Apple's notification settings page says others then "can't see notifications on your computer when, for example, you are giving a Keynote presentation"; on macOS 27 it's a choice called Notifications Off, and on macOS 15 it's a switch. Under Application Notifications, turn Reminders off on that Mac
- Take Reminders out of Spotlight there. Apple's Spotlight settings page describes Results from Apps: "Turn on the apps if you want them and their content to appear in Spotlight search results." Turn Reminders and Calendar off
- Check iPhone Mirroring. On the Mac: System Settings, Notifications, Allow notifications from iPhone, off. On the phone, Settings, General, AirPlay & Continuity, iPhone Mirroring lists every Mac; delete one and Apple's page says it "can no longer receive notifications or Live Activities from your iPhone"
- Send recruiters to a personal address. The invitation lands in the account that owns the address it was sent to, and Apple's Mac Calendar guide notes a work calendar account can be shared "with fellow employees at your company." On iPhone, Apple's Calendar settings page sets where your own events go: Settings, Apps, Calendar, Default Calendar. For iCloud, the invitations page (iOS 17 or later) lets you pick the address you send from, under Settings, your name, iCloud, Show All, iCloud Calendar, Send & Receive
- Give the Work Focus a filter. Apple's Focus page says a filter lets you choose "which mail account or which calendar to use during the Focus," so the personal calendar with the interview on it stays out of sight at your desk. A Mac Focus can be scheduled the same way
- On a phone the company manages, read Settings first. Apple's supervision page says a supervised iPhone shows, at the top of Settings, "This iPhone is supervised. [Organization name] can monitor your internet traffic and locate this device." Apple's enrollment methods page tabulates what management can do: no column, supervised or not, lets it view personal calendars, contacts, mail, notes or reminders, though a supervised phone can be restricted and erased from afar. For your own phone enrolled through a work account, Apple's Business guide says "the user's personal Apple Account and personal data are never touched by management." A phone the company owns is theirs, screen included, so keep the interview reminder off it
The catches
- It's all or nothing per Mac. Turning Reminders off in iCloud settings takes every reminder off that Mac, and Apple's page doesn't say what happens to copies there, so copy any list that only ever lived on it first
- When Unlocked only covers a locked Mac. While you're using it, banners show in full; the mirroring setting and a Focus cover the rest
- An invitation you accepted from your work address is in your work calendar. Decline it there and ask the recruiter to send it again to a personal address
- Apple's table is about the management service, not the people around you. A managed phone's Lock Screen, previews and search work like any iPhone's, so the settings for a Lock Screen other people can see still apply, and what you set on the Mac changes nothing on the phone
Where Notif fits
Notif is the reminders app I built on top of Apple Reminders. For the interview I'd write the note in Notif and mark it private, because that switch is per note: the rest of my reminders keep syncing to the Mac the way I like them, and the one about Thursday is handled differently, the way the box below describes. For the longer story on keeping any reminder to yourself, see private reminders on iPhone; Notif is free on the App Store: get Notif.
Questions
Will my personal reminders show on a work Mac signed in to my iCloud?
Yes. Apple says reminders stored in iCloud appear on every iPhone, iPad, Apple Watch and Mac signed in to the same Apple Account. On that Mac, go to System Settings, click your name, click iCloud, click See All and turn Reminders off, or sign out of your Apple Account there
Can my employer read my reminders on a managed iPhone?
Apple's table of what device management can do shows no enrollment method, supervised or not, that lets the organization view personal calendars, contacts, mail, notes or reminders. A supervised phone can still be located, restricted and erased, and any list under your work account lives on the work server, so keep interview reminders off a phone the company owns
How do I stop reminder banners while I'm presenting on a Mac?
Go to System Settings, click Notifications, and under Notification Center set notifications when mirroring or sharing the display to off. On macOS 15 it is a switch called Allow notifications when mirroring or sharing the display; on macOS 27 you choose Notifications Off
Where does a recruiter's calendar invitation end up?
In the calendar account that owns the address it was sent to. Give recruiters a personal address, and on iPhone set Settings, Apps, Calendar, Default Calendar to a personal calendar so events you create go there too
Does iPhone Mirroring put my phone's notifications on the Mac?
Yes. Apple says that after iPhone Mirroring connects once, the Mac keeps receiving your iPhone's notifications even when you aren't mirroring. Turn off Allow notifications from iPhone in the Mac's Notifications settings, or delete that Mac under Settings, General, AirPlay & Continuity, iPhone Mirroring on the phone
