Private reminders · Home and family
You added a private reminder to a shared list
Move it to a list only you see, now. What the others may already have been told, and the one part you can't take back
Everyone on a shared Reminders list can read every item in it as soon as it syncs, so move the reminder to a list only you see, now: it leaves the shared list the moment the move syncs. What you can't take back is anything that already reached them: an alert, if they turned on notifications for added items, or an activity update in Messages, if the list was shared there.
It happens because the shared list is the one you add to without looking: the grocery list, the trip list with your sister, the chores list with a roommate. "Book the therapist for Tuesday" goes in, and it's theirs too. Here is what they see, when, and how to put it right.
Where it shows up
Apple's shared lists page says people who accept your invitation can add items, delete items and mark them as completed, and the Mac guide adds that they can do it from any computer or device set up with iCloud. A reminder you add to a shared list shows up:
- In the list, in the Reminders app on all of their devices, within moments of syncing
- In a widget on their Home or Lock Screen, if they point one at that list
- As an alert on their phone the moment you add it, if they turned on Adding Reminders under Notify When for that list (Apple's iPhone guide)
- In the Messages conversation, if the list was shared there: Apple says you get activity updates in that conversation when someone makes changes in the shared list
- In their Assigned to Me list, if you assigned it to them
- In Siri, Spotlight and, in iOS 18 and later, Calendar, which lists scheduled reminders
One thing doesn't travel. Apple says the notifications you set for your reminders aren't shared with anyone else. Your 8 a.m. alert stays yours. The words don't.
What to do
- Move it to a list only you see. Tap the reminder, tap the Edit Details button, tap List, choose your own list, then tap Done (Apple's steps). Or touch and hold the reminder, tap the Lists button while holding it, and drop it on the list you want. If you don't have a list of your own yet, make one: tap the new list button, name it, done (Apple's list guide)
- Don't just mark it done. A completed reminder stays in the shared list. Apple's Reminders guide says tap the More button, then Show Completed, and there it is for anyone on the list. Deleting works too (swipe left, then Delete), but Apple keeps deleted reminders in Recently Deleted for 30 days, so moving is the surer path
- Know what you can't see. In the shared list, tap the Collaborate button, then Manage Shared List, and look under Notify When (Apple's page). Those switches are yours, for your own alerts; each participant sets their own, and Apple's pages offer no way to see theirs or to recall an alert that already went out
- If it was shared in Messages, the update is in the thread. Apple's iPhone guide says changes in a shared list post activity updates in the conversation it was shared in. You can't remove those from their phone; you can make the next change a quiet one by moving the item rather than editing it in place
- Make the next slip harder. Make your own list the default, so reminders you make with Siri or from another app land there (Apple's Mac guide explains what the default list catches; on iPhone it's Settings, Apps, Reminders, Default List). When you share a list, tap "People you invite can add others" and turn off Allow Others to Invite (Apple's steps). And look at the list name before you type
- If the list is yours and it has to go, stop sharing it. Apple's Mac guide says removing a person takes the list off all of that person's devices, and stopping sharing removes it from every participant's devices; on iPhone, look behind the Collaborate button. It's a bigger step than one reminder deserves, and it tells everyone something changed
The catches
- An alert can't be unsent. If a participant had Adding Reminders turned on, the alert was on their Lock Screen before you noticed
- Messages keeps the update. Activity updates in a Messages conversation are theirs to keep
- Completed is not gone. Show Completed brings it back for anyone on the list
- Your alert times are private; your words are not. Notes, URLs and subtasks you add to the reminder are part of it and go with it
- By default they can invite others. Apple's iPhone guide says participants can invite other people until you turn that off, so the audience may be larger than you think
- A shared Apple Account is a different problem. If you share the account itself rather than a list, every list is shared, and no move helps. That case is planning a surprise on a shared Apple Account
Where Notif fits
Notif is the reminders app I make, and every note in it is a real reminder in Apple Reminders, on Notif's own list, not the one you share with the family, so a note written in Notif doesn't land in the grocery list by accident. For the note that must stay yours even from your own lists, there is a private switch: mark it private, and the box below says what that means. Only the notes you mark private are private; the rest can be sent, one at a time, to Notif's server and an AI provider to write their Insight. Notif is free on the App Store: get Notif.
Questions
What does everyone on a shared Reminders list see?
Every item in the list, with its notes, dates and subtasks, on all of their devices, as soon as it syncs. Apple says the alert times you set for your reminders aren't shared, but the reminder itself is
Does moving a reminder out of a shared list remove it for the other people?
Yes. Once the move syncs, the reminder is gone from the shared list on everyone's devices and sits in the list you moved it to, which only you can see
Were they notified when I added it?
Only if they turned on the alert for added reminders on that list, or the list was shared through Messages, where changes post activity updates in the conversation. Apple's pages give no way to see another participant's notification settings or to take an alert back
If I mark the reminder completed instead, is it hidden?
No. Completed reminders stay in the shared list and appear when anyone taps Show Completed. Move it or delete it instead
Can a note in Notif end up in a shared list?
Notif writes every note to its own list in Apple Reminders, not to the lists you share with other people, and a note you mark private is never sent to Notif's server or to any AI and is taken out of Apple Reminders altogether
